Turn WhatsApp and email orders into ERP sales orders

ManualOut’s AI reads the orders your customers already send: email, WhatsApp, PDFs, spreadsheets, voice notes. It matches every line to your product list and creates the sales order in your ERP.

No portal to roll out. No behaviour to change at the customer end.

Six lines, one unmatched, and the order is short of this account's minimum. Both reach the desk as decisions rather than typing.

The long tail

EDI reaches your ten biggest accounts. Nothing reaches the other three hundred.

The big grocers made you set up EDI, the electronic link between your system and theirs. The independents, cafés and forecourts never will.

But that long tail is where most of your order lines are. So your team types all of it by hand — every carton, every pack size, every “same as last week but no cola” — against the clock, before the vans load.

ManualOut is built for that tail. Keep EDI where it works. Stop typing everything else.

How it works

Five steps. Only one needs a person.

And that one is the step where somebody actually has to make a decision.

  1. 01

    The order arrives

However your customer chose to send it: email, WhatsApp, a PDF, a spreadsheet, a voice note after service. They do not have to change anything.

  2. 02

    The AI reads it

ManualOut's AI pulls out the products, quantities and pack sizes, and matches each line to your product list. Anything it cannot match, it flags.

  3. 03

    Your rules are checked

Price list, minimum order value, delivery charge, cutoff time, company and warehouse. Checked on every order, so it does not depend on who is on the desk.

  4. 04

    The sales order is created

The order goes into your ERP and the ERP's order number comes back. If the ERP rejects it, you get the error and can fix and retry.

  5. 05

Your team handles what is left

Clean orders go through on their own. Only real decisions reach a person: a shortage, a line that would not match, an order below the minimum.

The order desk

148 orders came in. The desk touched 11.

The other 137 went into the ERP on their own. Your team spends its morning on the ones that actually needed a decision.

Rules & validation

If only a person checks the minimum, it is not really a rule.

Minimums, cutoff times and delivery charges only work if something checks them every time. At 8am with sixty orders waiting, that something cannot be a person remembering.

  • Minimum order value checked before the order moves — set globally or per account
  • Two small orders merged into one that clears the minimum, delivery date handled
  • Cutoff times applied automatically, so the delivery date is one you can hit
  • Delivery charges applied by order value, every time
  • Each order sent to the right company and warehouse
  • Stock checked while there is still time to call the customer

You can always see where an order is

Including when it goes wrong. If your ERP rejects an order, it shows up in the queue as work — not as silence.
