How to tell good software from a good demo
Every vendor in this category — us included — can make a clean PDF turn into a tidy order on a slide. That proves almost nothing. Here is what actually separates software that survives your Monday from software that does not.
It matches to your codes, using your history. Your customer does not order your SKUs. They order the name they have used for six years. Good software learns that this account has taken the twelve-pack forty times and the six never, so “cola” from them is not ambiguous at all. Software that only string-matches on the product name gets this wrong in ways you find out about in the warehouse.
It knows when it does not know. Ask to see the confidence score, and ask what happens to a low one. A sixty-percent match written silently into the ERP is worse than no automation, because now the mistake has your system's authority behind it. The real question to ask a vendor is not “how accurate are you” — it is “show me what happens when you are unsure.”
It writes into the ERP you already run, and shows you the failures. Getting data out of a message is the easy half. Getting a checked order into Dynamics 365, SAP, NetSuite, Oracle or Odoo — right company, right warehouse, right price list — and surfacing it loudly when the ERP rejects it, is the half that changes anyone's day. Ask whether they have written an order into your exact ERP and version before, and whether you can speak to whoever did.
It handles the messy inputs, not just the clean ones. The scanned PO. The photo of a handwritten list. The voice note recorded in a walk-in fridge. Six WhatsApp messages over four minutes that together are one order. If the demo only uses tidy inputs, you are being shown the easy quarter of the job.
The part nobody puts on a slide
AI order entry software will not replace your order desk, and you should be wary of anyone who says it will. Some orders need a person: the one that says “same as last week but drop the tea,” the account that has been odd since it changed hands, the line that could plausibly be two different products. Those should reach a human quickly, with everything they need to decide.
It will not be right every time, either. Nothing is. The difference between good and bad is not the error rate you cannot see; it is whether the tool tells you when it is guessing. Manual entry has its own error rate nobody measures — the mistyped quantity, the rule skipped at 7am, the “usual” that changed in March. The honest comparison is not software against perfection. It is software against a tired person doing the four-hundredth order as carefully as the first.
So is it worth it?
You will find plenty of vendor pages promising ninety percent less manual entry and ninety-nine percent accuracy. Follow those numbers and they lead to other vendor pages, not to a study. So do not take ours, or anyone's.
